How do I book group transportation with EZ Vans?

Start with a quote. Use our free quote form or call (866) 553-8267 with your date, passenger count, pickup and drop-off locations, and approximate timing. How far in advance should I book?

For standard airport transfers and small-group van service, one to two weeks is usually comfortable. For weddings, conferences, and multi-vehicle moves, book four to eight weeks out. Peak periods - graduation season, the December holidays, and major event weekends across Los Angeles, Orange County and San Diego - fill earliest, so reserve as soon as your date is set.

Can I book on short notice?

Often, yes. EZ Vans operates its own fleet across Southern California, so we can frequently accommodate same-week and occasionally same-day requests when a vehicle and driver are available. Short-notice availability depends heavily on the date and vehicle size. Call (866) 553-8267 rather than emailing when your trip is inside 48 hours - it is the fastest way to get a confirmed answer.

What information do you need to give me a quote?

Six things: the date, the number of passengers, the pickup address, the destination, the start time, and whether you need the vehicle to wait or return. Luggage volume and any special requirements - wheelchair access, a multi-stop itinerary, overnight travel - help us quote accurately the first time. The more precise your itinerary, the tighter the quote.

Do you handle multi-vehicle and multi-day itineraries?

Yes. Conferences, weddings, and destination programs regularly need several vehicles running staggered loops over several days. Can I change my reservation after booking?

Yes. Timing changes, added stops, passenger-count adjustments and vehicle upgrades can usually be accommodated with advance notice, subject to availability. Changes that alter the vehicle class or trip duration may adjust the rate. Contact us as early as possible - a change made a week out is nearly always easier to absorb than one made the night before.

How is my reservation confirmed?

How is charter transportation priced?

Two common structures. Point-to-point transfers - an airport run or a single venue shuttle - are quoted as a flat rate. Trips where the vehicle stays with your group, such as a wedding, wine tour, or event shuttle, are quoted hourly with a minimum. Vehicle size, total hours, mileage, and the date all factor in. Every quote is written and itemized before you commit.

What is included in the quoted rate?

Your quote covers the vehicle, a professional licensed driver, fuel, and standard insurance. Items that vary by itinerary - airport fees, parking, tolls, permits, and driver gratuity - are either itemized in the quote or noted as additional so there are no surprises on the final invoice. Ask for the itemized breakdown and we will walk through it line by line.

Is there a minimum booking time?

Hourly charters typically carry a minimum, commonly in the three-to-five-hour range depending on vehicle class, date, and market. Flat-rate transfers have no hourly minimum. Larger vehicles and peak dates generally carry longer minimums. We confirm the exact minimum for your vehicle and date in the written quote.

Is gratuity included?

Driver gratuity is customary and is not automatically bundled into every quote. Many clients add 15 to 20 percent for the driver, and some contracts include it up front so the organizer does not have to handle it on the day. Tell us which you prefer and we will structure the quote accordingly.

What payment methods do you accept?

We accept major credit cards, and corporate clients can be set up for invoiced billing with agreed payment terms. Most reservations require a deposit to secure the date, with the balance due before or on the day of service. Payment specifics are confirmed in writing with your reservation.

Do you offer corporate accounts and contract rates?

Yes. Organizations with recurring needs - employee shuttles, regular airport runs, standing conference programs - can be set up with a corporate account, consolidated invoicing, and contracted rates. This is standard for our corporate and executive clients and for ongoing employee parking shuttle programs.

What types of vehicles are in the EZ Vans fleet?

How many passengers can your largest vehicle carry?

Our largest motor coaches seat up to 57 passengers. Between that and a sedan we cover essentially every group size: sedans and SUVs for one to six, vans for roughly 10 to 14, mini buses for about 20 to 30, and coaches for 40 to 57. Groups larger than 57 are handled with multiple vehicles running in convoy.

Which vehicle is right for my group size?

A useful rule: book for your passenger count plus luggage, not just headcount. Fourteen people with airport luggage are more comfortable in a mini bus than a 14-passenger van. Tell us the group size and what they are carrying and we will recommend the right class rather than the cheapest one that technically fits.

How much luggage can passengers bring?

It depends on the vehicle. Motor coaches have dedicated underfloor luggage bays and handle full airline luggage for a full load. Vans and mini buses carry luggage in rear cargo areas or on remaining seats, which reduces effective passenger capacity. Always tell us your luggage volume when booking an airport transfer - it is the single most common cause of a vehicle being too small.

What amenities are available on board?

Amenities vary by vehicle class. Air conditioning and comfortable seating are standard across the fleet. Larger coaches and mini coaches may offer reclining seats, overhead storage, luggage bays, and onboard restrooms on select vehicles. If a specific amenity matters for your trip, ask before booking and we will confirm which vehicles in the fleet carry it.

Do you offer wheelchair-accessible or ADA vehicles?

Accessibility requirements are handled case by case. Tell us the specific need - wheelchair lift, mobility-device storage, or step assistance - when you request your quote, and we will confirm what we can arrange for your date and route. Are the vehicles you show the vehicles I actually get?

Yes. EZ Vans owns and maintains its own fleet rather than brokering your trip out to whichever operator bids lowest. That is the practical difference between booking with an operator and booking through a broker: we control the vehicle standard, the maintenance schedule, and the driver, so what is confirmed in your quote is what arrives.

How does airport pickup work?

Your driver monitors the flight and meets your group at the designated pickup area for that terminal. For larger groups and coaches, that is a specific commercial loading zone rather than the passenger curb - we send exact instructions before arrival. For a smoother arrival on large programs, a meet-and-greet inside baggage claim can be arranged.

What happens if my flight is delayed?

We track your flight. Give us the airline and flight number at booking and the pickup time adjusts to the actual arrival rather than the scheduled one. Reasonable delays are absorbed; extended delays that push a vehicle far outside its scheduled window may affect the rate, which we will discuss with you rather than surprise you with.

Can you handle a group arriving on several different flights?

Yes, and it is common for conferences and weddings. We either stage the vehicle and consolidate arrivals into planned departure waves, or run multiple pickups. Which approach is better depends on how spread out the arrivals are. Send us the arrival manifest and we will build the plan around it.

Do you provide airport transfers for corporate groups and conferences?

How early should the vehicle arrive for a departing flight?

For domestic departures we typically stage the pickup so the group reaches the terminal about two hours before departure, and three hours for international. Southern California traffic is the variable that matters most - a Friday afternoon run to LAX from Orange County needs materially more buffer than the same trip on a Sunday morning. We build that into the schedule.

Do you provide corporate and executive transportation?

Yes - it is a core part of what we do. That covers executive airport transfers, client roadshows, board and investor travel, and full conference programs. Can you run a recurring employee shuttle?

Yes. Daily and weekly routes between offices, satellite campuses, transit stations and remote parking are a standing service. Routes are built around your shift times and ridership, then adjusted as demand changes. See employee and parking shuttles.

Do you handle conference and convention shuttles?

Yes, including the Anaheim, Los Angeles and San Diego convention centers and the surrounding hotel blocks. These programs typically combine airport waves, hotel-to-venue loops on a published headway, and evening event runs. We provide an on-site coordinator for larger programs so your team is not managing vehicles.

Do you offer black car service for executives?

Can we set up a contract for ongoing transportation?

Yes. Ongoing programs are typically handled under a service agreement covering routes, vehicle allocation, rates, service standards, and escalation contacts. This gives your finance team predictable billing and your operations team a defined service level rather than a series of one-off bookings.

Do you provide transportation for university and campus groups?

Yes. Athletic teams, department trips, orientation programs and campus shuttles are all regular work for us across Los Angeles, Orange County and San Diego. Vehicle class is matched to group size, gear volume, and travel distance.

Do you provide wedding transportation?

Yes, and it is one of our most requested services. That includes guest shuttles between hotel blocks and the venue, wedding party transport, and end-of-night returns. How many vehicles does a wedding usually need?

It depends on guest count and how tight your timeline is. A 120-guest wedding with a single hotel block is often served by one mini coach running two or three loops. Multiple hotels, a tight ceremony window, or a 200-plus guest list generally calls for two or more vehicles running simultaneously. We map the loops against your timeline before quoting.

Can the vehicle stay with us all evening?

Yes. Wedding bookings are usually hourly so the vehicle and driver remain dedicated to your event for the full block, including the end-of-night return. This is the reliable option when your timeline may shift - and wedding timelines almost always shift.

Do you handle bachelor and bachelorette parties?

Yes. Multi-stop evenings, brewery and winery runs, and downtown nights out are all standard bookings. A dedicated driver means your whole group stays together and nobody is deciding who drives home. See bachelor and bachelorette party transportation.

Can we make multiple stops during a night out?

Yes. Multi-stop evenings are quoted hourly with the itinerary agreed in advance. Share the stops and rough timing when you book so the driver can plan routing and staging - it makes a noticeable difference in a dense area like downtown Los Angeles or the Gaslamp Quarter. Is alcohol allowed on board?

Policy depends on the vehicle and the booking, and all passengers must be of legal drinking age. Where alcohol is permitted, glass containers and open flames are generally not. Confirm the policy for your specific vehicle when you book rather than assuming - it varies by vehicle class.

Can you transport teams and their equipment?

Yes. Team travel needs cargo capacity as much as seats - bags, gear and equipment change which vehicle is appropriate. Tell us the roster size and equipment volume and we will size the vehicle so the team is not sitting with gear on their laps.

Do you handle music festival and concert transportation?

Do you provide cruise terminal transfers?

Yes, including the Port of Los Angeles in San Pedro, Long Beach, and the Port of San Diego. Cruise transfers are timing-critical in both directions - boarding windows and disembarkation waves are unforgiving - so we build in buffer and track your ship. See cruise transfers.

Can you combine an airport arrival with a cruise transfer?

Yes, and it is a common booking. One vehicle meets the group at LAX, San Diego or Long Beach and runs directly to the terminal, which avoids a second handoff with luggage. Give us the flight details and the ship's boarding window and we will schedule the connection with appropriate buffer.

How long can a day trip run?

Full-day charters commonly run eight to twelve hours. Longer days and overnight itineraries are possible and are planned around driver hours-of-service regulations, which are federally mandated and not negotiable. Can you transport a group between Los Angeles, Orange County and San Diego?

Yes, and intercity runs are routine work. Los Angeles to San Diego is roughly two to three hours depending on traffic and time of day. For a group of 15 or more, a single charter is generally simpler and more comfortable than coordinating multiple cars or rail connections with luggage.

Do you travel outside Southern California?

Yes for longer-distance charters - Las Vegas, Palm Springs, Santa Barbara, and other regional destinations are regular routes. Extended trips are planned around driver hours-of-service rules and may require overnight accommodation for the driver, which is included in the quote up front rather than added later.

Is EZ Vans licensed and insured?

Yes. EZ Vans operates under California Public Utilities Commission authority as a licensed charter-party carrier, TCP 20030P and TCP 20030A, and carries commercial insurance appropriate to passenger transport. Ask for a certificate of insurance if your venue or employer requires one - venues frequently do, and we can provide it before your date.

How long has EZ Vans been in business?

Since 1999. More than two decades operating in Southern California means our drivers know the routes, the venue loading zones, and the traffic patterns that determine whether a group arrives on time. That local operating knowledge is difficult to replicate and it is where most of the reliability comes from.

Are your drivers professionally licensed?

Yes. Our drivers hold the appropriate commercial licensing and endorsements for the vehicles they operate and are subject to the background check, drug and alcohol testing, and medical certification requirements that apply to commercial passenger carriers in California. They are professional operators, not gig drivers.

How are your vehicles maintained?

We own our fleet, so maintenance is on us and it is done on schedule. Vehicles follow a preventive maintenance program and receive pre-trip inspections before service, and they are subject to California Highway Patrol terminal inspection requirements for passenger carriers. This is a meaningful advantage over broker bookings, where the actual vehicle and its maintenance history are unknown until it arrives.

What is your policy on smoking, food and damage?

Smoking and vaping are prohibited in all vehicles. Food and drink policies vary by vehicle class - confirm when booking. Groups are responsible for excessive cleaning or damage caused during their charter, which is why the policy is stated in your confirmation rather than buried. Treat the vehicle well and this never comes up.

What is your cancellation policy?

Cancellation terms depend on the vehicle, the date, and how far in advance you cancel; peak dates and multi-vehicle programs carry firmer terms.
