This Privacy Policy explains how EZ Vans and its affiliates ("EZ Vans," "we," "us," or "our") collect, use, disclose, and protect personal information when you visit www.ezvans.com (the "Site"), request a quote, book transportation, contact us, or use any of our products, services, or communications (collectively, the "Services"). It also describes the rights and choices available to you regarding your personal information.
By accessing or using the Site or Services, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with our practices, please do not use the Site or Services.
1. Information We Collect
We collect the following categories of personal information, depending on how you interact with us:
Information you provide to us
- Identity and contact data - name, email address, mailing address, phone number, and similar identifiers you submit through forms, calls, chats, or emails.
- Reservation and trip data - pickup and drop-off addresses, dates and times, flight details, passenger counts, vehicle type requested, service type, special requests, and correspondence with us.
- Payment data - billing information processed securely through our third-party payment processors and reservation platform. We do not store full payment card numbers on our own servers.
- User content - reviews, testimonials, survey responses, messages, and any other information you choose to share.
Information collected automatically
- Device and usage data - IP address, browser type, operating system, referring and exit pages, pages viewed, and timestamps.
- Cookies and similar technologies - see Section 4 and our Cookie Policy.
- Approximate location - derived from your IP address.
Information from third parties
- Analytics, advertising, and social media providers; our online reservation platform; affiliate transportation providers; corporate travel coordinators or event planners who book on your behalf; and publicly available sources, used to operate, secure, and improve our Services.
2. How We Use Your Information
We use personal information for the following business and commercial purposes:
- To provide, operate, and maintain the Site and Services;
- To respond to inquiries, prepare quotes, confirm and dispatch reservations, and provide customer support;
- To process transactions and send related information such as confirmations, contracts, and invoices;
- To coordinate your trip with drivers, dispatchers, and affiliate transportation providers;
- To send administrative, marketing, and promotional communications (you may opt out at any time);
- To personalize content and improve the performance, security, and usability of our Services;
- To detect, prevent, and address fraud, chargebacks, security incidents, and unlawful activity;
- To comply with legal, licensing, insurance, and safety obligations, including those applicable to charter-party carriers, and to enforce our Terms of Use and Disclosures.
3. How We Share Your Information
We do not sell your personal information for money. We may share personal information in the following circumstances:
- Service providers and processors - vendors who perform services on our behalf (website hosting, online reservation and dispatch platforms, payment processing, analytics, email delivery, CRM, and advertising), bound by contractual confidentiality and data-protection obligations.
- Affiliate transportation providers - for some trips we engage licensed affiliate carriers and independent contractors ("farm-out") operating under their own commercial insurance and TCP licenses. We share the trip details necessary to perform your reservation. See our Disclosures page for more on farm-out service.
- Drivers and dispatch personnel - the passenger name, contact number, and pickup and drop-off details needed to complete your trip.
- Advertising and analytics partners - to measure and improve marketing. Under certain state laws, the use of cross-context behavioral advertising cookies may be considered a "sale" or "sharing" of personal information; see Section 5 to opt out.
- Legal and safety - when required by law, subpoena, regulator, or government request, or to protect the rights, property, or safety of EZ Vans, our passengers, our personnel, or the public, including in connection with insurance claims or accident investigations.
- Business transfers - in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.
- With your consent - for any other purpose disclosed to you at the time of collection.
4. Cookies and Tracking Technologies
We and our partners use cookies, web beacons, pixels, and similar technologies to operate the Site, remember your preferences, analyze traffic, and deliver relevant advertising. We will verify your identity before fulfilling your request and respond within the timeframe required by applicable law. You may use an authorized agent to submit a request on your behalf with proper authorization. Please note that we may need to retain certain reservation, billing, insurance, and safety records where required by law or by our licensing and insurance obligations.
6. California Notice (CCPA/CPRA)
If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act, provides additional rights described in Section 5. In the preceding 12 months, we may have collected the categories of personal information described in Section 1 for the purposes described in Section 2. We do not sell personal information for monetary value and we do not knowingly sell or share the personal information of consumers under 16 years of age. To exercise your California rights, contact us using the details in Section 15 below. You will not be discriminated against for exercising any right.
7. International and EU/UK Visitors (GDPR/UK GDPR)
Our Services are operated from the United States. If you access the Services from outside the U.S., your information will be processed in the United States, where data-protection laws may differ from those in your jurisdiction. If you are located in the European Economic Area, United Kingdom, or Switzerland, our legal bases for processing include your consent, performance of a contract, compliance with legal obligations, and our legitimate interests. You have the right to access, rectify, erase, restrict, or object to processing, and to data portability. You may lodge a complaint with your local data-protection authority. 8. Data Retention
We retain personal information only for as long as necessary to fulfill the purposes described in this Policy, including to provide the Services, comply with our legal, tax, licensing, insurance, accounting, or reporting obligations, resolve disputes, and enforce our agreements. Reservation, contract, and billing records are generally retained for the period required by applicable law and by our insurers. When information is no longer needed, we securely delete or anonymize it.
9. How We Protect Your Information
We maintain reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, loss, misuse, or alteration. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping any account credentials confidential.
10. Children's Privacy
The Site is not directed to children under 13, and we do not knowingly collect personal information from children through the Site. Reservations must be made by an adult. If you believe a child has provided us personal information, please contact us and we will delete it. Child passenger safety requirements, including car seat and booster seat requirements, are described on our Disclosures page.
11. Third-Party Links and Booking Platform
The Site contains links to and integrations with third-party websites and services that we do not operate or control, including our online reservation and account platform. When you book or manage a reservation through that platform, the information you submit is also handled under that provider's own privacy policy and terms. This Policy does not apply to those third parties, and we are not responsible for their content or privacy practices. We encourage you to review their privacy policies.
12. Reservation, Trip, and Safety Information
Because we provide ground transportation, some information we collect is operational in nature. This may include pickup and drop-off locations, itinerary and flight information, passenger counts and names supplied by the person booking, vehicle assignment, and records relating to trip completion, wait time, and billing. Where a vehicle is equipped with recording or telematics devices, or where an incident, accident, damage claim, or safety complaint occurs, we may collect and retain related records and share them with our insurers, affiliate carriers, legal counsel, and applicable authorities. If you book on behalf of other passengers, you are responsible for having the authority to share their information with us and for informing them of this Policy.
13. SMS/Text Messaging
If you opt in to receive text messages from us, you consent to receive transactional messages relating to your reservation (such as confirmations, driver dispatch, and arrival notifications) and, where you have separately agreed, promotional messages, at the number you provide. Message and data rates may apply, and message frequency varies. Reply STOP to unsubscribe or HELP for help. Consent to receive marketing texts is not a condition of any purchase or reservation.
14. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date above and, where required by law, provide additional notice. Your continued use of the Services after changes become effective constitutes acceptance of the revised Policy.
